Role - Personal Assistant
Duration: 3 months initially
Location: Nottinghamshire
Hours: Full time, Mon-Fri
Pay Rate: £17.62; Weekly pay; gross viaUmbrella including holiday
Venn Group has been contacted by a prominent public sector organisation based within Nottinghamshire to provide comprehensive PA and administrative support to Executive members. The post-holder will need to start immediately and will be relied upon to enable the senior management to work effectively, and to provide and support a positive image of the organisation.
Duties:
- Acting as the point of contact, dealing and responding effectively with queries and passing on relevant information sensitively
- Preparation of agendas and minutes, taking appropriate follow-up action as required
- Supporting two senior departmental meetings per month
- Plan and manage diaries ensuring time is utilised to full affect and ensuring internal and external meetings are robustly organised
- Providing confidential and timely inbox management to their designated Functional Director
- Scheduling of Multi-Disciplinary Meetings and Reviews with healthcare team members, patients, etc.
- Providing support to the Senior & Executive Assistant’s as and when required and ensuring they are an effective link to the Executive Team
- Planning and management of complex and conflicting workloads
- Working with other PA’s within the organisation to ensure that appropriate cross cover is provided
Requirements:
- Competent minute-taking ability
- Intermediate proficiency in MS Office: Word, PowerPoint, Outlook, Excel, SharePoint
- Internet and basic database skills
- Great communication skills to appropriately deal with telephone enquiries, ensuring messages are passed on to the relevant team member as soon as possible, or direct the caller to the relevant team
- Confident with handling and routine analysis of numeric data
- Keen initiative to deal with enquiries and routine matters unsupervised
- Effective prioritisation of work and responses
